Refunds

Any unused training funds remaining on account may be refunded upon written request.

Refunds will be calculated as follows:

• Training completed will be charged at standard published rates.
• Administrative fees, testing fees, examiner fees, books, online courses, and third-party vendor costs are non-refundable once incurred.
• Any unused balance remaining after earned charges will be refunded to the original funding source when required by financing agreements.

For students financed through third-party lenders, any applicable refund shall be made directly to the lender in accordance with the financing agreement.

Cancellation & Rescheduling Policy

Weather & Maintenance Exceptions

Students will not be charged cancellation fees if training is canceled due to:

• Aircraft maintenance issues
• Crosswind component exceeding 15 knots on the active runway
• Sustained headwinds exceeding 30 knots
• VFR ceilings below 3,000 feet AGL for cross-country training
• VFR ceilings below 1,500 feet AGL for local pattern operations
• Other conditions deemed unsafe by the instructor or Chief Flight Instructor

★ Grace Period — 1 Waived Cancellation Per 28 Days

Every active flight student is granted one (1) cancellation fee waiver per rolling 28-day period. This grace cancellation acknowledges that life happens and gives students flexibility without financial penalty.

• Grace period resets every 28 days from the date of last use.
• Applies to one cancellation per 28-day window — unused grace does not carry over.
• Weather and maintenance cancellations do not count against the grace period.
• Grace period applies to flight training students only.

Cancellation Notice Requirement — 24 Hours

All cancellations and rescheduling requests must be submitted at least 24 hours in advance of the scheduled lesson. Cancellations received within 24 hours of lesson time are subject to the charges below.

If the student’s grace cancellation for the current 28-day period has not yet been used, the fee will be automatically waived. If the grace session has already been used, the following charge applies:

• 1 Hour Aircraft Rental
• 1 Hour Instructor Time (instructor compensated for 2 hours)

Charge After Grace Session Is Used:

Note: The instructor is compensated for 2 hours of lost instructional time as a result of the cancellation. The student is charged for 1 hour of instructor time; the school absorbs the remaining hour to ensure fair instructor compensation.

⚠ Account Balance & Payment Requirements

Minimum Account Balance

All active flight students must maintain a minimum account balance of $200.00 at all times. Falling below this threshold will result in suspension of active status with the flight school until the balance is restored.

• Scheduling of future lessons requires an account balance of at least $200.
• Students whose balance drops below $200 will be placed on inactive status until replenished.
• Inactive students may not schedule flights, request aircraft, or hold instructor time.

Pre-Payment Policy — No Post-Flight Billing

Hummingbird Aviation operates on a strict pre-payment basis. Payment must be on account and available before any flight training session begins.

• All charges are deducted from the student’s account balance at the time of the lesson.
• Insufficient account funds at the time of a scheduled lesson may result in cancellation of that session.
• Block hour purchases must be paid in full before hours may be used.

Ferry flying rates are quoted on a per-mission basis and depend on:

• Aircraft type and performance characteristics
• Distance and number of fuel stops
• Deadhead return travel for the pilot
• Ferry permit requirements (if applicable)
